Job Description
Globe Theatre is seeking a highly organized, dynamic, and attentive individual to join the Globe team on a full-time permanent basis. The Executive Assistant will support both the Artistic Director (AD) and Executive Director (ED). The Executive Assistant will report directly to the AD & ED, as well as collaborate with other team members for special projects or events.
The Executive Assistant (EA) will manage the schedules and communications of the AD and ED, as well as support administrative tasks related to their roles.
- Scheduling and Coordination: Managing calendars, scheduling meetings, and organizing travel or appointments for the Artistic Director and Executive Director.
- Communication Management: Acting as a point of contact for correspondence, drafting emails, and ensuring clear communication across departments.
This job requires some evening and weekend work with schedules fluctuating around showtimes and events. It is a requirement that you see every show in our season, and it is encouraged to see the productions multiple times.
Roles & Responsibilities
Administrative Support:
- Schedule and prioritize meetings and appointments for the AD and ED;
- Filter and respond to emails on behalf of the AD and ED, flagging important messages;
- Travel planning and management for the AD and ED: Book flights, hotels, and car services for business trips and prepare itineraries;
- Assist in drafting reports, presentations, and correspondence as needed;
- Prepare meeting agendas, take minutes during meetings, and ensure follow-up on action items;
- Preparing expense reports for the executive team.
Communication Liaison:
- Manage relationships with key clients, artists, or partners, and sometimes represent the executive in meetings or events;
- Serve as a liaison between the Artistic and Executive Directors and other staff, clients, or stakeholders.
Project and Task Management:
- Ensure that key deadlines are met and manage executive projects through to completion;
- Assist with or lead special projects as assigned, including research, strategy, and logistical coordination.
Event Planning & Coordination:
- Organize internal events such as staff lunches, team-building activities, or company parties;
- Assist with the logistical setup of meetings hosted by the executive team, including ordering catering, arranging equipment, and setting up venues.
HR Support:
- Act as the first line of communication with staff on HR issues and requests for support, passing pressing concerns onto the ED;
- Assist with employee onboarding, coordinating and welcome materials and assistance with related paperwork;
- Assist with benefits coordination, health and safety policies, and maintaining employee records where applicable .
Confidentiality and Discretion:
- Manage confidential or sensitive company data, such as financial reports or proprietary information;
- Maintain a high level of professionalism and discretion in all interactions.
Competencies
- Excellent time management;
- Outstanding oral and written communication skills;
- Proven ability to write, proofread, review, and edit communications;
- Proficiency in scheduling;
- Ability to exercise discretion and maintain confidentiality;
- Experience with Microsoft Suite (Word, Excel, Outlook, etc.).
Additionally, you should possess: a passion for non-profits/the arts, attention to detail, a desire to work in a collaborative environment, and the ability to prioritize competing deadlines
Additional Information
Working Conditions: This role will be a full-time permanent salaried position. Work weeks are based off a 35-hour week, and with any overtime banked. Vacation time is accrued and can be taken throughout the year with prior approval.
Salary Range: $40,000 to $50,000 per year for the full-time position based on experience, paid bi-weekly.
Benefits: After an initial 3-month probationary period employees will be eligible to join Globe Theatre’s comprehensive healthcare benefits program, and after 6-months join the group RRSP plan with employer matching. Globe Theatre also offers a hybrid work-from-home policy, dog-friendly office, and complimentary tickets to all productions.
Please note that parking is not provided for Globe Theatre employees. Bicycles can be brought into the building and secured, and multiple forms of public transit are easily accessible nearby.
