Job Description

Globe Theatre is seeking a highly organized, dynamic, and attentive individual to join the Globe team on a full-time permanent basis. The Office Manager will be the first point of contact for visitors and callers, while also handling various administrative tasks to ensure the smooth operation of the office. The Office Manager will work closely with the Building and Technology Manager to ensure the office operates effectively and meets the needs of the organization.

This role requires a friendly, professional demeanor and exceptional organizational skills to assist both clients and staff efficiently. The ideal candidate will excel in multitasking, managing office supplies, scheduling appointments, and providing clerical support to enhance the office’s functionality. The Office Manager will work in a dynamic, fast-paced office environment. Strong teamwork, adaptability, and attention to detail are essential for success in this combined role.

Key Responsibilities

Office Coordination:

  • Ensure that the office is well-organized, stocked with necessary supplies and properly maintained;
  • Coordinate with the Building and Technology Manager for repairs or updates and oversee administrative processes to ensure smooth day-to-day operations;
  • Order and track office supplies, equipment, and furniture, maintaining inventory and ordering necessary replacements;
  • Oversee general office facilities, liaising with building management for repairs, security, and maintenance;
  • Assist with preparing meeting rooms, coordinating events, and ensuring all materials and resources are available;
  • Support staff with administrative tasks such as data entry, filing, and document preparation.

Reception Duties:

  • Greet and direct visitors, clients, and stakeholders at the administration floor lobby, with a professional and welcoming attitude;
  • Answer and route incoming phone calls, ensuring prompt and effective communication;
  • Manage scheduling for all staff meetings, and other large internal events;
  • Receive, sort, and distribute incoming mail, packages, and deliveries. Arrange outgoing shipments.

Coordination of Internal Communications:

  • Assist with internal communications, including managing emails, memos, and updates for the team;
  • Act as a point of contact for internal coordination, helping teams stay aligned on office logistics and resources.

Financial Support:

  • Assist with office budget tracking, including office supplies, events, etc;
  • Tracking budget/expenses related to the management and running of the Globe’s administrative operations – and ensure proper documentation for reimbursements or vendor payments.

HR Support:

  • Assist with employee onboarding, including preparing workstations, building tours, etc.;
  • Coordinate with IT when setting up office equipment; computers, phones, and printers, etc.

Competencies

  • Excellent time management, communication, and interpersonal skills;
  • Outstanding oral and written communication skills;
  • Proven ability to write, proofread, review, and edit communications;
  • Proficiency in scheduling;
  • Ability to exercise discretion and maintain confidentiality;
  • Ability to handle multiple tasks simultaneously and prioritize effectively;
  • Friendly, professional, and approachable demeanor;
  • Experience with Microsoft Suite (Word, Excel, Outlook, etc.);
  • Proven experience as a receptionist or in an administrative role is not required but considered an asset.

 

Additionally, you should possess: a passion for non-profits/the arts, attention to detail, a desire to work in a collaborative environment, and the ability to prioritize competing deadlines.

Additional Information

Working Conditions: This role will be a full-time permanent salaried position, working onsite Monday to Friday from 9:00am to 4:30pm. Work weeks are based off a 35-hour week, and with any overtime banked. Vacation time is accrued and can be taken throughout the year with prior approval.

Salary Range: $50,000 to $60,000 per year for the full-time position based on experience, paid bi-weekly.

Benefits: After an initial 3-month probationary period employees will be eligible to join Globe Theatre’s comprehensive healthcare benefits program, and after 6-months join the group RRSP plan with employer matching. Globe Theatre also offers a hybrid work-from-home policy, dog-friendly office, and complimentary tickets to all productions.

Please note that parking is not provided for Globe Theatre employees. Bicycles can be brought into the building and secured, and multiple forms of public transit are easily accessible nearby.
